For this 1920s-themed corporate summer soiree, our client entrusted us with securing a captivating venue nestled in the heart of London. This venue needed to boast both indoor and outdoor spaces and be capable of hosting a grand gathering of up to 1000 guests.

What we did:

Initial Consultation and Concept Development

The process began with an initial consultation with our client to understand their vision, objectives, and budget. During this stage, we discussed the significance of the 1920s theme, the desired atmosphere, and critical elements that would make the event stand out.

Understanding the client’s expectations was crucial in tailoring the event to meet their needs. We also researched 1920s aesthetics, entertainment, and activities to ensure authenticity.

Venue Selection and Decoration

Selecting the right venue was paramount. We sought a location with historical charm and the capacity to accommodate the expected number of guests. After evaluating several options, we chose 116 Pall Mall in central London, which provided the perfect backdrop for the event.

The event design aimed to transport guests back in time. We incorporated opulent gold and black colour schemes and atmospheric lighting to evoke the glitz and glamour of the era. A stage and a large dance floor were central features, while speakeasy-style bars added to the theme’s authenticity. We also arranged for vintage furniture and props to enhance the immersive experience.

Invitations and Guest Communication

To set the tone for the event, we designed elegant, themed invitations reminiscent of the 1920s. We created digital and printed versions of the invitations using Art Deco fonts and motifs, ensuring they captured the era’s essence. We also managed RSVP tracking and guest communication, providing updates and answering any queries regarding the event.

Entertainment and Activities

Entertainment played a pivotal role in bringing the 1920s theme to life. Throughout the evening, a live jazz band and a swing dance troupe performed authentic period and current music.

For added excitement, we hired a professional dance instructor to offer brief swing dance lessons to guests.

We also arranged for a variety of thematic activities, including:

  • Chocolate selfie station: Guests had their photos taken and then printed out in real chocolate.
  • Photo booth: A 1920s-style photo booth with vintage costumes and props, allowing guests to capture memorable moments.
  • Tipsy fountain: A free-flowing fountain providing cocktails for the guests.

Catering and Beverages

The catering menu was carefully crafted to reflect the 1920s theme. We partnered with a catering company experienced in period-specific menus, offering hors d’oeuvres and cocktails popular in the 1920s.

Bartenders dressed in period attire served signature drinks like the Mint Julep, Sidecar, and French 75.

We also provided a gourmet buffet menu with classic dishes from the era, ensuring a delightful culinary experience for all guests.

Staff and Logistics

Ensuring smooth logistics was a priority. Our team coordinated with the venue and vendors to oversee the setup, event flow, and teardown. We provided a detailed event timeline and assigned roles to staff members, ensuring that every aspect of the event was managed efficiently.

Final Touches and Execution

On the event day, our team under the creative direction of event producer Kwame Knight arrived early to oversee the final preparations. We ensured that all decorations, lighting, and sound equipment were in place and conducted final checks with the entertainment and catering teams. As guests arrived, they were greeted by our staff and transported into the dazzling world of the 1920s.

Throughout the event, our team was on-site to manage any issues, ensuring a seamless experience for our client and their guests. The evening was a resounding success, with guests enjoying the unique, immersive experience and the client praising our attention to detail and professionalism.
