Producing a company party for 800 guests at the Natural History Museum involves far more than booking a venue and selecting a few suppliers.

For this Glitz & Glamour summer party, Kwame Knight acted as the creative event producer, bringing together the design, production, catering, furniture, entertainment and operational planning required to deliver one cohesive experience.
What Does an Event Producer Do?
An event producer takes responsibility for turning an initial idea into an event that can be delivered safely, creatively and effectively.
The role connects the client's objectives with the venue, suppliers, production teams and guest experience. An experienced producer considers:

Understanding the Client's Vision
The starting point for any event is understanding what the client wants guests to feel and experience.
The brief for this celebration was to create a sophisticated Glitz & Glamour summer party for 800 guests at one of London's most prestigious venues. It needed to be stylish, immersive and engaging, giving guests the opportunity to socialise and enjoy an exceptional evening together.
Kwame translated that broad vision into a complete event concept covering:

Developing the Creative Direction
A theme is only the starting point of the design process.
Glitz & Glamour could have been interpreted in many different ways. The challenge was to create something elegant and impactful that complemented the Natural History Museum rather than competing with it.
Kwame developed a gold-led creative direction incorporating statement ostrich feathers, floral styling, selected furniture, bespoke bar features, a gold DJ booth and carefully considered lighting. The design needed enough scale to work inside Hintze Hall while remaining appropriate for the museum's architecture. By establishing the creative direction early, every supplier had a clear visual framework to follow.

Selecting and Appointing Specialist Suppliers
One of the most important responsibilities of an event producer is appointing the right suppliers.
The right supplier must have the experience, expertise and resources to deliver to the required standard within the venue and at the scale required. For this event, Kwame appointed:
- Zafferano to provide the catering and hospitality
- Velvet Living to supply the event furniture
- Kudos AV to deliver the sound, lighting, staging and technical support
- Sternberg Clarke to supply the DJ and roaming magician
- Euphonica to supply the roaming band
Each supplier was appointed to fulfil a particular role within the complete experience.
Creating One Team From Multiple Suppliers
Appointing strong suppliers is only part of the process. They must also work together effectively.
A large event can involve numerous companies, each with its own schedules, requirements and priorities. Without central coordination, important details can be missed or responsibilities can become unclear.
Kwame acted as the central point between the client, Natural History Museum and appointed suppliers. This ensured everyone understood:

Making the Most of the Available Resources
Every event has an allocated level of expenditure, regardless of its size.
The event producer's role is to determine where those resources will have the greatest impact on the guest experience. For a large company party, it can be tempting to divide the expenditure evenly across every service. In practice, certain elements require greater priority based on the venue, audience and event objectives.
At the Natural History Museum, important considerations included:
- Technical production suitable for Hintze Hall
- Sufficient catering and bar capacity for 800 guests
- Furniture appropriate for the venue's scale
- Statement design features that would remain visible
- Entertainment for different stages of the evening
- Adequate staffing and technical support
- Wet-weather contingency planning

Designing the Guest Journey

The event began with a reception in the Darwin Garden before moving into Hintze Hall for the main celebration, creating two distinct experiences within one evening.
Guests first arrived in a relaxed outdoor environment with food, drinks, a roaming magician and an acoustic roaming band. They were later guided into Hintze Hall, where the scale, design and entertainment changed dramatically. Moving 800 guests between spaces required careful coordination between venue operations, security, catering, front-of-house teams, entertainment, technical production and the Events by Knight team.
Coordinating the Catering and Bars

Zafferano was appointed to deliver the catering and hospitality.
The catering plan needed to support both the Darwin Garden reception and the main party in Hintze Hall. Two bars were positioned in the garden to manage the arrival demand and reduce queues. Inside Hintze Hall, a large rectangular gold bar became both a major service point and a central part of the event design. Food stations supported the informal, sociable atmosphere and allowed guests to eat at their own pace.
Kwame worked with the catering team to coordinate food and drinks service, bar capacity, staffing, service timings, catering positions, guest flow, entertainment timings and wet-weather arrangements, so the hospitality supported the running order rather than operating separately from it.
Integrating the Furniture With the Event

Velvet Living provided the furniture for the celebration.
Furniture selection and positioning needed to balance comfort, design and guest movement. The layout had to accommodate 800 guests, bars and food stations, the stage and dance floor, interactive games, social and lounge areas, entertainment spaces, service routes and emergency access.
Kwame worked with Velvet Living to ensure the furniture complemented the Glitz & Glamour design while creating comfortable areas for guests to sit and socialise. The furniture was not simply placed wherever space was available. It formed part of a carefully considered floor plan.
Managing the Technical Production
Kudos AV was appointed to provide the staging, sound, lighting and technical support.
The production needed to support speeches, a live band, DJ and a saxophonist while also transforming the atmosphere of Hintze Hall. Kwame connected the creative requirements with the technical delivery, ensuring that the stage, lighting and sound worked with the wider design.
An event producer does not need to personally operate every piece of equipment. Their role is to appoint the right specialists and ensure the technical solution supports the complete experience.
Curating the Entertainment

Entertainment was designed around the different stages of the evening.
The Darwin Garden featured a roaming magician and acoustic band, both of which worked naturally within the outdoor setting and its restrictions around amplified sound. Inside Hintze Hall, the entertainment increased in scale and energy with a live party band, DJ, a live saxophonist and interactive games including the bespoke Glitz Grabber, air hockey and four-player Light Chaos.
Kwame selected and coordinated the entertainment around the audience, venue, running order and overall atmosphere.
Planning for the Unexpected
Every large event needs contingency planning.
Because the opening reception was scheduled to take place outdoors, a complete wet-weather alternative was prepared in the Darwin Centre Atrium. This involved more than identifying another space. The alternative plan needed to consider:
- Revised guest access
- Catering and bar positions
- Furniture layouts
- Entertainment movement
- Supplier responsibilities
- Signage
- Staffing
- The route into Hintze Hall
- Changes to the running order
Planning these details in advance meant the team could respond if conditions changed without having to redesign the reception on the day.
Building the Production Schedule
The production schedule is one of the most important documents for a complex event.
It sets out when suppliers arrive, where they need to be, what must happen before guests enter and how the venue will be returned after the celebration. The schedule covered:
- Supplier access
- Equipment and furniture deliveries
- Catering installation
- Styling and floral setup
- Stage and AV installation
- Technical testing
- Artist arrivals
- Sound checks
- Staff briefings
- Guest arrival
- Entertainment cues
- Event close
- Breakdown and collection
Each activity needed to happen in the correct order. A delay in one area could affect several other suppliers.

Once setup began, Kwame led the event alongside the Events by Knight production team. This included overseeing:

Even the most detailed plan cannot predict every situation that may arise during a live event.
A supplier may be delayed, a performance time may need to change or guests may move through the venue faster than expected. An experienced event producer must be able to assess what is happening, understand the impact on other departments and make decisions quickly.
Because Kwame maintained an overview of the entire event, any adjustment could be considered in relation to catering, entertainment, venue operations and the guest journey. This is one of the key differences between supplier coordination and full event production.
Protecting the Creative Vision
As an event moves from an initial concept into practical delivery, the creative vision can easily become diluted.
Individual suppliers may focus on their own area without understanding how it connects to the complete event. The event producer protects the overall experience by checking that:
